This Privacy Statement provides you with detailed information about the protection of your personal data by Unikoo, a private company under Belgian law, with registered office at Hulstbaan 158, 9112 Sint-Niklaas and registered in the Crossroads Bank for Enterprises with number (RPR Ghent, Dendermonde division) 0540.823.203 (”we” or”us”) in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (”AVG”).
As data controller, we are responsible for processing your personal data as part of our activities. The purpose of this Privacy Statement is to inform you about what personal data we process about you, the reasons for which we process and share this data, how long we keep it, and how you can exercise your rights.

1. Which one?
We collect and use your personal data as necessary as part of our activities and to achieve a high standard of products and services.
In doing so, we process various categories of personal data, including:
- identification data (e.g. name, first name, IP address);
- contact details (e.g. postal and email address, telephone number);
- employee data (e.g. account number, age, gender, length of service);
2. How, why and on what basis?
- when you communicate with us by email (we will collect your name, first name, telephone number, fax number, postal and email address) or when you register to use our services (we ask for your name, first name and email address) to handle business with you and provide requested services; the legal basis used for this is Article 6, 1, b) of the GDPR, in particular the performance of a contract to which you are a party or taking out measures at your request before an agreement is concluded; or
- when you visit our website for marketing purposes; the legal basis used for this is Article 6, 1, a) of the GDPR, in particular consent; or
- when you apply for one of our vacancies for recruitment purposes; the legal basis used for this is Article 6, 1, a) of the GDPR, in particular consent; or
- when you work for us for the purposes of managing the client/employer-contractor/employee relationship; the legal basis for doing so
3. Who do we share your personal data with?
To fulfill the above purposes, we only share your personal data to:
- our employees
- service providers who provide services on our behalf;
- financial and judicial authorities, government or public bodies, upon request and to the extent permitted by law;
- Certain regulated professions such as lawyers, notaries or auditors.
4. Transfer of personal data outside the European Economic Area (“EEA”)
Your data will not be the subject of international transfer from the EEA to a country outside the EEA.
5. How long do we keep your personal data?
We do not keep your personal data longer than necessary for the purpose for which it was provided or required by law, in particular
- for the execution of an agreement to which you are a party or to take measures at your request before an agreement is concluded: 10 years after termination of the agreement; and
- for marketing purposes: until you tell us that you no longer wish to receive our mailings or when your email address is no longer in use; and
- for recruitment purposes: we will update our database every 3 years; and
- for managing the client/employer-contractor/employee relationship: as long as keeping the data is necessary to implement legal requirements towards client/employer-contractor/employee.

Your personal data provided to us will not be used for automated decision-making, including profiling

8. What are your rights and how can you exercise them?
Both, where appropriate, with regard to the execution of the agreement to which you are a party and, where appropriate, with regard to the consent you have given for marketing purposes, you have the following rights with regard to your personal data:
- right to access, i.e. you have the right to obtain an answer as to whether or not your personal data is being processed and, if so, to obtain access to that personal data. You can also get a copy of your data.
- You can exercise this right as follows:

- With regard to the consent you have given for marketing purposes: sending an email to privacy@unikoo.be ;
- right to rectification, i.e. you have the right to obtain the rectification of inaccurate personal data and the completion of incomplete personal data.
- right to deletion, i.e. you have the right to obtain the deletion of your personal data without unreasonable delay in the following cases:
- right to restrict processing, i.e. you have the right to obtain the restriction of processing in the following cases:
- right to object to processing, i.e. you have the right to object to the processing of your personal data for reasons specific to your situation. We will then stop processing unless there are compelling legitimate grounds that outweigh your interests, rights and freedoms or are related to the establishment, exercise or defense of legal claims. When personal data is processed for direct marketing, you have the right to object at any time to the processing of your personal data for such marketing, including profiling related to direct marketing. We will then no longer process your personal data for these purposes.

- if you have objected to the processing, pending an answer to whether our legitimate grounds outweigh yours.
